    As a Receptionist at Vietcetera, you will be the first point of contact for guests and partners while also providing essential administrative and operational support to the Verticals team. This role requires strong communication skills, organizational abilities, and a proactive approach to ensure smooth front-desk operations and efficient coordination within the department.

    Key Responsibilities

    1. Front Desk & Guest Relations

    • Welcome and assist guests, clients, and employees in a professional and friendly manner.

    • Manage incoming calls, emails, and inquiries, directing them to the appropriate teams.

    • Maintain the reception area, ensuring it is well-organized and presentable.

    2. Administrative, Operational support, & Office Management

    • Handle administrative tasks such as document filing, data entry, documents scan, and correspondence management.

    • Support procurement processes, including office supplies, vendor coordination, and logistical arrangements.

    • Prepare reports and documentation as required.

    • Support delivery of goods via post office. 

    • Proceed purchase of office tools, equipments, and furnitures.

    3. Personal Assistant to the CEO

    • Manage the CEO’s calendar, scheduling meetings and ensuring effective time management.

    • Arrange travel, accommodations, and logistical support for the CEO.

    • Prepare meeting agendas, minutes, and follow-ups as required.

    • Act as a liaison between the CEO and internal/external stakeholders.

    • Handle confidential information with discretion and professionalism.

    Qualifications

    • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.

    • 1-2 years of experience in receptionist, administrative, or coordination roles.

    • Strong communication and interpersonal skills with a professional demeanor.

    • Excellent organizational skills and attention to detail.

    • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.

    • Ability to multitask, prioritize, and work in a fast-paced environment.

    • Fluent in Vietnamese and English, both written and spoken.
